1. What is the grad check pilot project?
It is an effort to utilize current technology to make the grad check process
more efficient for everyone - students, staff and faculty. Also, it is designed
to decrease the time between the students' application submission and review
of degree requirements. Our goal is to make the final degree requirements
readily available by using the Titan Degree Audit.
The Department of Communications has partnered with Admissions and Records
to run this pilot grad check project since the end of 2005. Recently, majors
in the College of Business and Economics are also participating in the pilot
project.
2. Who is part of this grad check pilot project group?
Selected pilot students consist of many communications majors with a declared concentration and no additional major who have applied for a graduation check; of this group, first time freshman and transfer students whose final evaluation is available on the Titan Degree Audit generally meet the criteria. (Note: not all transfer students will be part of the pilot group because some transfer students may have units that cannot be placed on the Titan Degree Audit.)
3. How do I know for sure that I am part of the pilot group?
All communications students who were selected for the initial grad
check pilot project are notified of this via email and portal messages.
Letters are subsequently sent to students explaining the process.
(Note: if your mailing address or student email address was not current
at the time of these mailings, then this information may have gone to
the incorrect mailing/email address you had on file with the university.)
Students need to check their "csu.fullerton.edu" student email regularly.
In addition, students who are a part of the pilot project have an
"Important Message Regarding TDA Grad Check" heading at the beginning of
their Titan Degree Audit. (Note: should grad checks be processed
"electronically" in the future, this message may be discontinued on
the Titan Degree Audit.)
4. Will I be getting the same grad check information if I am in the pilot project group?
Yes, the information will be the same. It will simply appear on your Titan Degree Audit instead of the triplicate paper form used in the traditional grad check process.
5. Who reviews the grad checks in the pilot project?
Evaluators in the Graduation Unit (in Admissions and Records) manage the grad check process. The grad unit evaluators process the grad checks by reviewing university requirements:
- General education status
- Number of units completed (120 units minimum required, of which at least 40 need to be upper division)
- CSUF and cumulative GPA
- EWP (Examination in Writing Proficiency) completion
- Evaluation of supplemental transfer units submitted
Students with a MINOR: a paper minor grad check form will be mailed to you.
You will need to have your minor grad check signed by your minor advisor.
When the grad unit begins the grad check process for a group of eligible
pilot students, the list of these students is forwarded to the College
of Communications Advisement Center. While the grad unit evaluators
are verifying the status of your university requirements, the College
of Communications Advisement Center is reviewing your major requirements:
- Major coursework and collateral courses
- Completion of at least 80 units outside of communications, of which at least 65 must be in the liberal arts and sciences (?80/65? requirement)
- Classification of any "unclassified" coursework, as it related to major, outside of communications, or liberal arts units
When both of the above offices have completed the review of your degree requirements, an "electronic signature" will be placed on your record.
6. How do I know when my grad check has been reviewed?
Students will receive an email/student portal message from Admissions and Records when your grad check has been reviewed. This is why it is very important that you make sure your "csu.fullerton.edu" email address is current with the university and is checked regularly.
7. What do I do after I receive the email that the review is finished?
The email message will explain your next steps in the process. To become an official candidate for graduation, you will need to submit a "Declaration of Candidacy" form (you will be directed to a website where you can print out this form). The email message you receive will inform you regarding the deadline for submitting this form (generally, 2 weeks after receipt of the email message). Note: do not submit this form until you have received the confirmation email that your requirements have been reviewed!
8. What if I have a minor?
If you have a declared minor, a paper minor grad check form will be mailed
to you. All minors will continue to be processed on paper. You will need to
have your minor advisor sign this form.
It is likely that you will receive your minor grad check form in the mail
prior to receiving notification that your overall grad check has been completed.
Keep your signed minor grad check until you receive the email notification regarding
your TDA grad check being completed. When you submit your "Declaration of Candidacy"
form, turn in your minor grad check at the same time.
